Winter booking conditions

VVF Villages is a French tourism association. Accordingly, French law shall apply. Our general terms and conditions of sale shall apply in accordance with French laws and regulations in force, in particular Articles L.211-1 and followings and R.211-1 of Book II of the French Tourism Code (Code du Tourisme) (see statutory and regulatory provisions). The purchase of travel or holiday package means acceptance of the following. general terms and conditions of sale by the buyer. By reason of the nature of this sector the slling distance period of withdrawal does not apply (Article L.121-20-4 of Consumer Code).

The buyer’s purchase of a holiday package or trip shall be deemed acceptance of all the general terms and conditions of sale proposed below.

1 – Holiday bookings and payment

1.1 - Booking periods:

Starting on August 29th bookings for the 2014-2015 winter season may be made by telephone (using the call-back service or calling on 00 33 4 73 43 01 09) or over the internet. The call-back service can be accessed from the website. It provides information in addition to that available on the website and shows availability. It can also be used to make a booking that will remain valid for seven business days pending receipt of your payment, after you receive your rental agreement. If you are given an option by telephone, an option number will be provided to you.

 1.2 – Bookings:

 Booking requests may be made by telephone (using the call-back service) or over the internet. Your booking becomes final upon full or partial payment of the rental. Two possibilities:

1.You may pay all or part of the price of the rental by credit card at the time you make your booking by telephone or over the internet

2.If you wish to use another payment method: from the time you receive your rental agreement, your payment (the deposit or balance) must reach us within seven business days from the date of your booking, thereby confirming your booking. If payment is not received within that time, your booking will be automatically cancelled.

1.3 – Payment for holidays:

 Three possibilities:

a. Booking made more than 45 days before the start of the holiday: a deposit of 30% of the holiday, including additional services, and 100% of the registration fee.

b. Booking made between 45 days and 15 days before the start of the holiday: the amount of the holiday, including additional services, and 100% of the membership fee. In either case, the registration fee will be added to the amount of rental. Payment may be made by credit card (Visa, MasterCard), bank transfer, bank cheque (in euros) made out to the order of VVF Villages or VVF Villages gift vouchers. All holidays must be paid in full before arrival. Non-payment of the balance prior to arrival may result in you being denied access to the holiday property and may be considered a last minute cancellation. Documentation evidencing entitlement to discounts must reach us no later than the time you pay the balance on your holiday. Discounts will not be applied retroactively.

c. Last minute booking (15 days before the start of the holiday): the full price (including the registration fee) must be paid at the time the booking is made and is payable by credit card only (Visa, MasterCard). Last minute bookings made over the telephone at the customer’s request shall be deemed acceptance of the general terms and conditions of sale, which the customer acknowledges having read and accepted.

2 - Registration

VVF Villages is an association governed by the Act of 1901. Accordingly, as a holidaymaker, payment of a registration fee is required at the time of the first holiday during the year in progress. Registration fee is valid from  November 1st to October 31st of the following year.

3 - Rates

3.1 - Setting of rates

Rates are set on the basis of economic conditions in effect on February  2nd 2014. Rates are subject to change based on economic conditions or as the result of new laws or regulations. The dates and prices indicated will be confirmed at the time you make your booking.

  3.2 – Special offers/Loyalty discounts

 Special offers and loyalty discounts are subject to the following terms and conditions:

Loyalty discounts

To be eligible for loyalty discounts you must have holidayed at least once for one week (six nights minimum) at a VVF Villages property since December 15th 2012, and you must book a holiday of at least 5 nights at a VVF Villages property. If you meet the above conditions, you will automatically receive a discount of €30, €50 or €70 when you book your second holiday.

To know the amount of your loyalty discount, simply count the number of non-consecutive holidays of at least one week at a VVF Villages property beteween November 15th 2014 and April 11th 2015. The table below shows the loyalty discounts to which you may be entitled.

If booking 2 consecutive stays in 2 different properties, discoutn will apply once.

Special Christmas

In La Plagne Montchavin, Le Grand Val Cenis, Saint-François Longchamp, Prapoutel Les 7-Laux and Maisod. For every stay (7 nights) during Christmas week booked before October 12th, the night from Friday 19 to Saturday 20th December is also offered!

Children stay free

From November 15th to December 20th, from January 3 rd to February 7th and from March 3rd to April 11th (and also from April 11 to April 18th for La Plagne Montchavin and Le Grand Val-Cenis), 1 child under the age of 11 stays for free, with either full board or half-board, provided there is 1 paying adult per holiday package (minimum stay of seven nights). The discount applies to the youngest child (does not apply to the "Great, it's time to eat" option).

Holidays for individuals

Outside School Holidays, the supplement individual bedroom is offered in full or half board, whatever how long you stay, outside school holidays.

.3 – Promotional discounts

 VVF Villages reserves the right to organise promotions in accordance with laws and regulations in force. Promotional rates are valid only in accordance with the special terms and conditions of sale applicable to such promotions and cannot be applied to bookings that do not meet such terms and conditions.

These discounts cannot be used in conjunction with Special Offers and Loyalty Discounts.

4 - Conditions applicable to stays at VVF Villages properties

4.1 – Length of stays - Arrivals/Departures

For stays of three or more nights, accommodations become available on the first day of your stay at 5.00 p.m. and must be vacated by 10.00 a.m. on the last day.

For stays of less than three nights (excluding weekends), accommodations become available on the first day of your stay at 5.00 p.m. and must be vacated before 12.00 noon.

One-night weekends (Friday-Saturday or Saturday-Sunday) or two-night weekends (Friday-Sunday): accommodations become available on the first day of your stay at 5.00 p.m. on Friday and at 12.00 noon on Saturday. Accommodations must be vacated before 12.00 noon on Saturday and before 4.00 p.m. on Sunday.

Important: If you plan to arrive after 8.00 p.m., you must inform the property in advance to arrange for access to your accommodation (some properties have gates or access codes).

 4.2 – What is included in rentals:

For accommodation-only bookings, with or without “restaurant passes”: a fully equipped property is provided. Bed linen provided at ski destinations; table linen and towels not provided (unless otherwise specified).

Attention: In certain properties, whether for accommodation-only, full-board or half-board bookings, bunk beds are provided (see the description of each property – bring a sleeping bag or duvet for the top bunk). Please note that top bunks are not suitable for children under six years of age.

Restaurant Passes: For accommodation-only bookings and during certain periods, restaurant passes may be booked in advance or on-site upon arrival. Restaurant passes cover meals only (including wine), but do not include any other service, such as hiring of bed linen and towels or housekeeping service.

Full-board and half-board bookings: Accommodation, meals, including wine (breakfast and dinner for half-board bookings; breakfast, lunch and dinner for full-board bookings), bed linen provided, beds made upon arrival, end-of-stay housekeeping provided (excluding dishwashing and kitchen appliances, if any), towels provided (unless specified otherwise), type of accommodation depending on the number of persons (for an additional fee, individual holidaymakers may stay in properties that usually accommodate several persons, subject to availability: €12/night other than during French school holidays - €16/night during French school holidays, except the Orbey property: €20/night during French school holidays.

Important: During French school holidays, for full board and half-board bookings, the rental period begins with dinner and ends after breakfast. Other than during French school holidays, the rental period begins with dinner and ends after lunch for full board bookings or after breakfast for half-board bookings.

Note: For persons who have made full-board or half-board bookings or who have booked accommodation-only with restaurant passes, and who have dietary restrictions, VVF Villages cannot guarantee that the meals offered, whether regular or substitute meals, will meet their dietary restrictions.

  4.3 – Optional services

Our website lists optional services. Depending on the service, you may register for these activities:

At the time the booking is made; or

After confirmation of your booking; or

On-site, upon arrival or during your stay.

The substance and frequency of these activities are subject to change depending on the number of participants, dates of availability and the service providers’ requirements.

  4.4 - Housekeeping:

  Holidaymakers are responsible for housekeeping. For accommodation-only bookings, an end-of-stay housekeeping service "Clean Pass" is offered (excluding dishwashing and kitchenette). You can arrange for this service at the time of your booking or on-site.

 You can also book the “Serenity Kit” at the time you make your booking (beds made before arrival, towels provided, end-of-stay housekeeping included) (see the heading “Practical Guide” – “All you need to know during your stay” – “the Welcome Services"). End-of-stay housekeeping is included for full-board and half-board bookings.

5 – Security deposit

Upon your arrival at the VVF Villages property, you will be requested to pay a security deposit of €150, which will be refunded at the time of departure, provided the property is left clean and all its contents are complete and in good condition. An inventory will be taken on the day of departure. Upon arrival, it will be suggested that the customer take an inventory himself and that he inform management, on the same day, of any deficiencies noted. In the event of a night-time or early departure, if no joint inventory is possible, the security deposit will be kept and refunded subsequently, less any amounts withheld for cleaning or repairs. The decision to leave without a prior inventory shall be deemed agreement with VVF Villages’ decision to withhold all or part of the security deposit.

  The security deposit may be paid in several forms:

  - A single cheque in the amount of €150;

 - Two cheques totalling €150:

One cheque for the amount of the housekeeping service ("Clean Pass"), i.e. a cheque of €38, €44 or €59, depending on the type of accommodation selected (for rates, see the heading “Practical Guide” – “All you need to know during your stay” – “the Welcome Services") Another cheque for the balance (after deducting the price of the housekeeping service from the €150 deposit), i.e. a cheque of €112, €102 or €91;

- In cash (in euros) and by credit card in most of the holiday rentals.

6 – Local tourism taxes

In certain towns or resorts, a municipal by-law requires holidaymakers to pay a tourism tax, in accordance with local laws in force. The amount of such taxes is not included in the rates and such taxes must be paid on-site (unless otherwise specified).

7 - Rules and regulations

Each holiday rentals are subject to rules and regulations. If they are not respected or in case of damages, violence, lack of respect of others, non-payment of the stay or if the accommodation capacities are not respected, VVF Villages grants itself to end the stay without any refundation nor compensation.

8 - Pets

At certain destinations, on certain dates and subject to certain conditions, pets are accepted for an additional fee (€5.30/ pet/night in VVF Villages properties). On other properties, no exceptions are possible. This fee applies to pets living in cage (hamster, rabbit...). An up-to-date vaccination certificate is mandatory and must be presented upon arrival. Animals considered dangerous (in particular, category 1 and 2 dogs as classified by French law) and/or animals not considered to be pets are not accepted. Please refer to the web page for each property to determine whether animals are permitted (see the heading “My holiday destination” – “pets” paragraph, and the heading “Practical information” – look for the pictogram of a dog).

9 – Changes/Cancellations

9.1 - Conditions applicable to changes or cancellations by the customer

Changes: Any change made to the original booking by the customer with respect to one of the following five points: rental location, dates of stay, number of participants, type of accommodation, meal options – shall be deemed a cancellation of the original booking and a new booking. In such case, the cancellation conditions for the original booking shall apply automatically.

Cancellation: VVF Villages association shall in all cases retain the membership fee. Depending on the date of cancellation, which must be confirmed in writing to VVF Villages, VVF Villages will withhold the amounts below as compensation (from amounts collected by VVF Villages as a deposit or rental payment in accordance with the provisions of Article 1.3 of these general terms and conditions of sale):

- -More than 45 days before the date of arrival: 5% of the total amount shown on the rental agreement, excluding the registration fee.

- Between 45 and 21 days before the date of arrival: 30% of the total amount shown on the rental agreement, excluding the registration fee.

- Between 20 and 8 days before the date of arrival: 50% of the total amount shown on the rental agreement, excluding the registration fee.

- Between 7 and 2 days before the date of arrival: 75% of the total amount shown on the rental agreement, excluding the registration fee.

- Less than 2 days before the date of arrival: 100% of the total amount shown on the rental agreement.

If you do not arrive on the arrival date, no reimbursement will be made.

For all-inclusive packages, optional activities and additional services paid in advance, the cancellation conditions are the same as for rental bookings.

Attention: Arrivals after the date on which the booking begins or early departures, regardless of the reason, will be deemed a cancellation of the portion of the rental period not used, and no reimbursement will be made.

9.2 - Conditions applicable to changes or cancellations by the owner

VVF Villages may be required to change or cancel a booking or activity due to an insufficient number of participants or events beyond its control. Furthermore, despite all the care employed in creating this website inputting errors are possible. Accordingly, VVF Villages reserves the right to correct any error or oversights that may occur in this website.

 However, such corrections will not affect bookings made before the date of the correction. Such bookings will be honoured in accordance with the terms and conditions made known to the customer at the time the original booking was made. Lastly, in certain cases, the regulatory section of Book II of the French Tourism Code applies automatically (see the heading “Legal and regulatory provisions”).

10 - Insurance

 10.1 - Theft - damage

 Laws concerning the liability of hotel operators does not apply to rentals of holiday properties. Consequently, VVF Villages shall not be liable in the event of loss, theft or damage to personal property, whether inside or outside facilities (accommodation, common areas, car parks or recreational areas). We advise against bringing valuables or large amounts of cash.

  10.2 - Liability

 We recommend that you have your own civil liability (bodily injury and property damage) and holiday theft insurance cover. Membership in our association does not include any individual insurance cover. Our insurance policies cover our liability in accordance with the regulatory section of Book II of the French Tourism Code, which lays down the requirements for engaging in the business of organising and selling travel and holiday packages (see special terms and conditions below).

11 - Financial guarantee

VVF Villages has taken out a financial guarantee in accordance with the requirements of French law (see special terms and conditions below).

12 - Disputes  

Any claims concerning a holiday must be made no later than one month from the date of the end of your stay, by recorded delivery letter (signed for), sent to VVF Villages, Service Consommateur (Customer Service), 63038 Clermont-Ferrand cedex 1, France.

13 – General tourist information

Information concerning services in the area around VVF Villages properties (access, services, sport facilities, nearby activities or events, rates, etc.), which are not billed by us, is provided for information purposes only. VVF Villages shall not be liable in the event such information changes or if such services are cancelled.

14  - Acceptance

By sending a partial payment or payment in full for a holiday, the customer shall be deemed to have accepted the general and special terms and conditions of sale, which the customer acknowledges having read.
